Executive Operations Coordinator
Position: Executive Operations Coordinator- (Hourly/OT eligible)
Reports to: Executive Director/CEO

Description: The primary role of this position is to support the CEO, HR Compliance, and Operational Continuity. You will be a high-level generalist to aid the CEO in maintaining mission focus. Training and/or training resources will be provided.
Requirements: • Personal relationship with Jesus Christ and a willingness to serve others, attends church regularly • Must be friendly and able to work well with staff and guests • Organizational skills and ability to oversee multiple tasks and projects • Must be a self-starter, able to work independently and complete tasks in a timely manner • Experience in general time management techniques and skills and Microsoft Office Suite • Assist with escalations as a level before CEO involvement (as needed) • Must possess valid California drivers license (within 3 months of hire) and be insurable • Must be physically able to perform assigned duties
Detail of Responsibilities: A. Executive/CEO Time protection (50%) 1. Administrative Ownership: Assist in offloading some “legacy” administrative tasks currently held by the CEO 2. Proactive Planning: Anticipate office needs (tax forms, supply orders, meeting prep) before they become urgent 3. Gatekeeping: Manage the CEO’s calendar and assist in prioritizing internal meeting requests to ensure the CEO’s “church partner visits” are productive and uninterrupted. (visits encourage church and donor partnership and participation at camp to support our mission). 4. At times being a part runner/pick up resource as coordinated with daily administrative priorities
B. HR & Seasonal Onboarding (30%) 1. Compliance Lead: Manage the lifecycle of the 30+ seasonal summer staff (applications, background checks, I-9s, and orientation paperwork, scheduled training) 2. File Management: Maintain digital and physical records for the 17+ full-time staff to ensure 100% compliance with labor laws i. Maintain part-time/seasonal employee paperwork as well 3. The CEO still maintains the hiring/firing role, this role is mostly paperwork, training, meeting management, and tracking certification expirations, and at times personnel meetings or interviews
C. Operational Support (20%) 1. Project Coordination: During staff transitions or medical leaves, act as the lead to ensure continuity 2. “Final Gap” Fill: serve as a versatile short-term support member (typically not exceeding 2-4 hours per instance) during peak Tier-1 emergency moments (e.g. massive check-in days or kitchen surges) to prevent the CEO from being pulled away from executive duties. 3. While not a supervisory role, you may need to task or redirect interns or other support staff towards project goals.
D. Complete all other duties as assigned by the Executive Director
