Camp Registrar Reports to: Camp Operations Director
POSITION DESCRIPTION: The Camp Registrar position will serve to lead, manage, develop & facilitate all aspects of camper registration, confirmations, financial accountability & follow up. This position will also serve as paying camper family liaison. This position requires spiritual maturity, high energy, a positive and enthusiastic attitude as well as specific skills within a broad array of highly skilled areas. They should be available to work early mornings, late evenings and/or weekends throughout the year. The position also includes 15 days of paid time off.
KEY AREAS OF RESPONSIBILITY
Camp Registration Oversight & Maintenance -Be a 1st line resource for questions from parents regarding camp registration -Facilitate camp confirmations for all camp sessions -Keep master registration spreadsheet updated -Keep CampBrain updated -Enter paper applications into CampBrain -Create and mail confirmation letters -Communicate via phone calls and email to waitlist campers based on weekly changes -Input, follow up and confirm all prior camp pre-registration applications -Make in progress application calls to families -Provide reporting necessary to present camper statistics and registration information -Assist camp staff with all things pertaining to camp registration and CampBrain inquiries
Manage Camper Tuition Payment Processing & Tuition Data Entry into QuickBooks -Process tuition payments in CampBrain -Enter tuition payments into QuickBooks -Follow up on declined or outstanding tuition payments -Make phone calls to scholarship applicants regarding “Give or Get” scholarship initiative
Manage Camper Family Communications & Serve as BRC Liaison to Families -Build relationships and open communication with parents -Communicate with full scholarship applicants -Follow up on missing applicant information -Create & send notification emails and letters -Follow up with partners who have reserved camper spaces -Develop relationships with paying campers families in order to enhance their Barefoot experience and create ongoing connections to Barefoot -Keep up with parent/camper stories and share with respective staff -Mail birthday cards monthly to campers
CampBrain Administrator -Serve as the resident CampBrain “expert” -Create, develop, maintain and initiate all CampBrain updates, changes and the overall administration of the CampBrain database
Community Relations -Serves as an ambassador in the community for the mission of Barefoot Republic. -Assists with family camp, fundraising events and other special events as needed.

EXPERIENCE: -Strong business acumen skills. -Experience with effectively communicating organizational mission and objectives. -Customer service experience -Advanced proficiency in Microsoft Word, PowerPoint, Outlook, Excel, Publisher and Visio.
PHYSICAL AND/OR MENTAL REQUIREMENTS: -Able to sit at and work on a computer for extended periods. -Able to lift 10 pounds and reach/bend to retrieve documents in cabinets and on shelves.
WORK ENVIRONMENT: -Office environment and offsite outdoor camp environment. -Willing to work additional hours as needed to ensure responsibilities are met. -Willing to work offsite in support of camp programs and other initiatives.
