Member Relations Coordinator
The Member Relations Coordinator serves as a key point of contact for CCCA members and the public, ensuring each interaction reflects the organization’s commitment to excellent service and support. This role thrives on building meaningful connections, providing timely and accurate assistance, and helping members make the most of their benefits and resources.
Reporting to the Director of Member Engagement, the Member Relations Coordinator works closely with a small, collaborative team dedicated to delivering excellent member support. While this part-time position operates remotely during CCCA business hours, it remains highly connected with teammates to process membership transactions, respond to inquiries, and ensure members receive the full value of their CCCA membership. Physical office space is available for the Member Relations Coordinator at the CCCA headquarters in Colorado Springs. CCCA will provide a laptop and phone for this role.
The Member Relations Coordinator also serves as an Event Registrar, answering event-related questions throughout the year and supporting event registration. This role includes serving in person at CCCA’s annual national conference and requires occasional travel.
OVERALL QUALIFICATIONS The Member Relations Assistant shall: 1. Maintain a personal relationship with Jesus Christ. 2. Sign and adhere to the CCCA Organizational Behaviors as a covenant with colleagues. 3. Exhibit a warm, professional attitude when interacting with teammates, members, prospects and the public. 4. Show a desire to serve CCCA members and fulfill the mission of CCCA. 5. Possess a minimum of two years of customer relations experience, with a proven track record of effectively addressing customer needs and enhancing customer satisfaction. 6. Possess a minimum of two years of data entry experience. 7. Demonstrate excellent communication skills, both verbal and written, with professional phone presence. 8. Demonstrate a high level of accuracy and thoroughness in all tasks. 9. Demonstrate the capability to understand and use CCCA’s database system for daily tasks. 10. Maintain a positive attitude and flexibility to support team needs and adapt to changing priorities. 11. Demonstrate proficiency in Microsoft tools, particularly Outlook, Word and Excel.
Areas of Responsibility: 1. Respond to member and public inquiries by phone and email, demonstrating a strong understanding of CCCA’s resources and benefits. 2. Process and track membership renewal payments; send reminders and assist members with renewal transactions; enter individual member updates and maintain accurate member records in the database. 3. Monitor event registrations and assist members with event-related questions and registration changes throughout the year via phone and email. 4. Serve in person as the Registrar at the annual national conference, interacting with attendees with a spirit of warm professionalism in keeping with CCCA’s brand, processing transactions and answering event-related questions. (The week of the conference requires more than 29 hours a week. The conference is typically held the first or second week of December.) 5. Run queries daily to provide scheduled lists for eblasts, membership renewals, internal requests, month-end reports, registration summaries, subscriptions, and more. 6. Audit and clean up database records to ensure the integrity of data related to memberships, subscriptions, events, and other organizational records. 7. Participate in weekly mail processing via Zoom as part of a dual-control process. In addition to the above, the Member Relations Coordinator shall be willing, as time and skills allow, to take on other duties as needs dictate.
