Registrar/Office Manager

Black Lake Bible Camp is seeking a detail-oriented, thorough, and organized registrar. In this position, you will ensure the accuracy and timeliness of the Black Lake Bible Camp’s registration. You will work closely with the Program Director and the Day Camp Director to oversee all program camp registrations. This is a full-time year round position. This position will require teamwork and strong interpersonal and communication skills. Other key competencies include being organized, accurate and detail-oriented, while still maintaining efficiency and thoroughness.

Job Description - Registrar/Office Manager


· Create or update registration system forms (Registration – online registration form, health forms, camp information sheets, scholarship applications, group registrations)

· Set up Venue360 for each day camp and overnight session creating: edit prices and discounts, add to calendar, change photos, update terms & conditions, confirmation letter, new fields, add to catalog

· Manage online registrations (venue360 and jotform group registrations)

· Enter group registration information into Venue360

· Apply payments from Braintree to Venue360 registrations

· Create deposit for bookkeeper

· Send a confirmation letter to each camper

· Email communication before, during, and after camping sessions (i.e week-of info email, day camp check-in email, evaluation email, etc.)

· Coordinate with youth groups coming to camp as a group

· Make cabin assignments

· Maintain any waiting lists

· Create reports (including check-in, registration status, scholarship recipients, Family Camp kids’ ages, etc.) for day camp, overnight camp, family camp, etc.

· Help camp nurse set up (radio, keys, forms, supplies)

· Organize and run check-in for campers (check-in, nurse, t-shirts, spending money)

· Organize and run sign-out for campers (sign-out, medications, left-over spending money)

· Provide camper addresses to cabin leaders for birthday postcards

· Make nametags for adult events/camps

· Enter summer staff into Excel or Venue360 and assign housing. Collect summer staff health forms and sign-in/sign-out sheet information

· Communicate with camper parents consistently through email, phone, and office, being as quick to respond as possible

· Oversee the flow of the camp office making sure there is professional customer service

· Ordering office supplies & making sure office equipment is running efficiently

· Finding seasonal staff to work in our front office

· Have systems in place to have the office run efficiently & effectively

Other Areas of Responsibility

· Update registration page on website

· Teach summer staffers how to represent BLBC well at check-in/sign-out

· Compose end-of-year receipts for day campers

· Sort, file, and save important documents each year

· Create and maintain a camp store money system for day campers

· Provide updated reports to other full-time staffers as needed (scholarships, camper days, registration status report, etc.)
