Manager - Guest Services

Job Title: CPC Guest Services Manager/Host
Organization: Lake Geneva Foundation (LGF)
Reports to: Operations Director

Position Summary: Ensures guests are safe, well cared for, and are able to meet their retreat goals

Position Responsibilities:
• Hire and oversee guest services part time and seasonal staff ensuring staffing needs meet the demand
• Schedule all seasonal, part time, and designated fulltime staff for periodic hosting work (minimum 60 days prior)
• Prepare for guests arrival on site, host while on property, close down buildings after guests leave
• Give tours to potential customers – is knowledgeable about property and LGF programs
• Timely communication of needs, concerns, damages, deferred maintenance issues to appropriate department
• Organize, inventory, and store all AV, sound equipment
• Assist Recreation Department as needed, cares for recreation equipment daily use
• Plant and maintain all outdoor flower pots
• Organize ministry to clean after storms
• Assist in moving all furniture for renovations
• Oversight of CPC Snack Shop – staffing, purchasing inventory
• Able to lift 60 lbs
• Other duties as assigned

• Prepare for groups arrival:
o Accountable for weekly coordination meeting between appropriate staff (i.e., organize and chair) – Recreation, Retreat Planning, Maintenance, Housekeeping, Food Service
o Pre-plan special requests of internal departments 2 weeks in advance
o Set-up and test sound/stage/video as per instructions
o Set-up chairs, AV, flipcharts, unlock all doors, turn on heat/air, lights and outside lights as per instructions
o Conduct minor repair with screw driver
o Move furniture to meet guest need (by exception)
o Wipe down patio furniture
o Replace light bulbs under 8 ft (assistance from maintenance for LED)
o Post information signs around each property
o Prepare arrival packets

• When guests are onsite:
o Guest Group Onboarding - Greet group leader when they arrive, give arrival packets and walk through details – emergency etc.
o Responsible for guest services phone to be answered at all times
o Instruct guests regarding sound and AV equipment prior to first meeting
o Conduct a short orientation presentation during groups first meeting
o Trouble shoot during retreats including minor repairs such as clogged toilets, sinks, light bulbs within reach, paper towel dispensers that don’t work, loose door knobs, last minute requests
o Greet, trouble shoot and be available during meals; pray for first meal at guest group discretion
o Aid in removal of snow accumulation around doorways
o Take care of garbage, cleaning needs during retreat
o Conduct closeout meeting with group leader – re-books, prays

• After guests leave:
o Walk through all buildings
o Report damage to appropriate department
o Close down buildings - turn off lights, turn down/up temperature, close all windows, close garbage bags, turn projectors off, put away all equipment, gather lost items, re-stack chairs, etc.



Essential skills and additional requirements:
Faith – Passionate about the gospel message and the camping ministry
Strong communication skills – Efficiently and effectively communicate regularly across the organization all essential information
Operational excellence – Includes strong organizational skills, ability to problem solve and recognize customer service issues

Reporting to this position:
Seasonal part time staff
