We are looking for someone with a strong work ethic, love for interacting with people and a desire to live and work in a close community to serve in the much-needed role of Retreats (includes schools and events) Booking Coordinator. The makeup of our community determines a large part of what it is like to live and work here. We have about 120 people who live on-site year round, comprised of: full-time staff and families and Professional Semester students. Glorieta is a beautiful place with many natural resources but calls for somewhat remote living.


JOB DESCRIPTION

Title: Retreats Booking Coordinator

Department: Retreats and Conferences

Reports To: Director of Guest Services and seasonally reports to Assistant Director of Retreats and Conferences

Job Purpose: To fulfill our mission by working on a team that coordinates all aspects of summer and non summer rental groups (schools, churches, businesses, conferences, etc.) and events under the direction of the Director of Guest Services.

Overall Responsibility

Maintains a personal relationship with Jesus Christ, is a consistent witness for Jesus Christ and maintains a courteous, Christ-like attitude in dealing with the internal and external customers of the Camp Eagle Family of Camps.

Complete all administrative tasks for Retreat groups such as: pre-trip scheduling, post-group debriefing, follow up, surveys, billing and collecting payments, preparing and receiving contracts and deposit forms, schedules, etc

Create, adjust and be familiar with Salesforce to create and manage opportunities, accounts, and contacts as necessary

Make housing and resource reservations for all retreats and events

Communicate with group leaders through email, phone call and in person.

Gathers information and determines needs of all groups for all hosts and works with them to create exceptional Retreat experiences

Communicate internal needs to necessary staff, includes preparing all hosts for their groups

Willingness to learn new skills

Ability to be flexible with time-off and new policies

Ability to work with groups of all sizes throughout the Retreat and Conferences season

Learn and then assist with all aspects of quality control during the Retreat season (housekeeping, retail, activities, etc.)

Ability to create logistics sheets with all required details of groups needs for internal use during Retreat season

Form authentic relationships with group sponsors and leaders, teachers, future guests, and staff (full-time, summer staff, and interns)

Facilitate all aspects of tours for future guests

Plan adventure events, pursue sponsorship, marketing, community involvement

Develop programmed events/retreats such as: Ministers Escape, Couples Retreat, Father Son or Mother Daughter Adventure Weekend, Singles Escape

Occasionally run activities, facilitate group development sessions, prepare meals or clean meals as needed and as trained when others are not scheduled or your help is needed

Host groups and events on a rotation with other Program Staff

Aid in the purchasing of necessary equipment and material for the success of Retreats

Program gate codes for Retreat guests

Assist in answering the main line phone and transferring calls

Assist in All Camp cleaning

Assist the Director and Assistant Retreats and Conferences with efficiency projects or whatever else is required

Other Duties of ALL Glorieta Staff: We operate year-round. We have guests on the premises almost every day of the year. Serving guests is our number one priority, and therefore ALL staff must participate in guest service in some capacity. Tasks may include cooking, cleaning, facilitating group activities, running retail locations, general maintenance of camp property, and work projects as needed. There are often groups here on weekends, and all staff members will be required to work certain weekends as needed.

Character, Education, Abilities, Skills, Experience:

The “ideal” candidate will have:

A vibrant relationship with Jesus Christ and commitment to scripture and will continue to pursue that further

Strong sense of hospitality and customer service

High degree comfortability with phone calls and emails and guest interaction and public speaking

College Degree or higher is preferred

Ability to use technological systems at Camp proficiently

Proficiency in use of spreadsheets

Experience with Salesforce

Ability to work long hours

Ability to confront, encourage, and inspire staff towards excellence in their work

Easily communicates with guests in a professional and friendly manner verbally and in writing

Strong administrative and organizational skills

Experience with event planning or the equivalent is highly desired

High level of managing details for up to 15 events at one time

Ability to manage, delegate and respond to situations in a Christ-centered way

Ability to problem solve and be flexible and adaptable with the changing and developing needs of guests and handle the resulting actions with speed and kindness


Work Context: This job will be performed primarily on location at the Glorieta, New Mexico location


Travel: Occasional travel to help with recruiting, marketing, or trainings.

Physical Demands: Ability to lift 60 lbs, sit in office, hike, stand all day, be willing to get your hands dirty.

Work Environment: Most work will be done in the office, at a desk. Occasionally may be asked to help with all-camp projects, including working in inclement weather conditions throughout the year.

Training: Employees will be given opportunity for improvement through appropriate training.

Compensation: Salary, on­site housing, medical insurance, 401(k) retirement package after one year, and paid vacation time. See HR and/or potential supervisor for details.
