Office and Guest Services Manager

Job Title: Office and Guest Services Manager
Corps/Department: IM DHQ/High Peak Camp
Reports to: Divisional Youth Secretary
FLSA Status: Full Time, Non-Exempt
Scope of Position/Essential Functions:
The primary functions of the Office and Guest Services Manager is to serve as the liaison concerning all areas of office management in working with vendors, clients, customers, and employees. Other functions of this position include bookkeeping, payroll, maintaining employee and volunteer files, protecting the mission files, vendor/purchases files, and contracts. This position will also be responsible to maintain an active camp calendar under the direction of the Camp Director. Other functions of this position include general housekeeping to assist in turning the camp over in cooperation with the Operations Manager.
Education and Work Experience:
The chosen applicant must have a BA degree in a business related field, or a high school diploma/equivalent paired with a minimum of three years’ experience in office management.
Knowledge, Skills and Abilities Required:
? Shelby Accounting System
? Microsoft Office Suite (excel, word, access), Outlook, and Lotus Notes.
? General understanding of GAAP (Generally Accepted Accounting Principles).
? Ability to operate a 10-key and other standard office equipment.
? Must accurately develop a filing system under the direction of the Divisional Human Resources and Protecting the Mission Departments.
? Remain in full compliance with all Salvation Army policies and procedures outlined within the employee handbook and as directed by authorized Salvation Army departments.
? Responsible for finances related to guests, groups, and retreats.
? Experience in leadership/supervision of people and the ability to work effectively with the camp staff, the public, and children that camp serves
? Manage the camp rental calendar and booking of all rental groups in a manner edifying The Salvation Army and local churches.
? Must be available during group rental period serving as host and camp representative.
? Assist with camp turn over after events.
? Ability to learn new camp software with training.
? Coordinate with group leaders to ensure booking requirements such as contracts, deposits, camp policies and procedures, and processing.
? Coordinate with Divisional Headquarters (DHQ) leadership for divisional events held at camp.
? Conduct ongoing evaluations/surveys of camp services and make recommendations on how camp can better serve customers in the future.
? Maintain the camp office operations, phone calls, and mail processing when the Camp Directors are off campus.
? Maintain regular contact with contracted groups throughout the summer months
Software-related skills: Microsoft Word and Excel required, Lotus Notes, Working knowledge of integrated database applications and ability to use new software programs
with basic training.
Physical Requirements: Ability to sit, walk, stand, bend, squat, climb, kneel and twist on intermittent or continuous basis. Ability to grasp, push, pull, and reach overhead. Ability to operate telephone. Ability to lift up to 25 pounds, Ability to access and produce information from a computer, Ability to understand written information.
